Your Charity Already Has a CRM. It Just Doesn’t Know It.

There is a good chance your charity is already paying for a CRM. Or, more accurately, getting one for free. If your organisation uses Microsoft 365, you are sitting on a set of tools that can track donors, automate follow-ups, manage volunteer relationships, and produce reports for trustees. Most charities never switch them on.

According to the 2025 Charity Digital Skills Report, 68% of small charities remain in the early stages of digital adoption. Meanwhile, 60% of smaller charities are still managing contacts, donations, and supporter relationships through spreadsheets and disconnected tools. The irony is that many of these same organisations already hold Microsoft 365 Business Basic licences, available free for up to 300 users through Microsoft’s nonprofit programme. The CRM for charities they have been looking for is already inside the box.

What Most Charities Use Microsoft 365 For

The typical charity uses Microsoft 365 for three things: Outlook for email, Word for letters and reports, and Teams for meetings. That is roughly 20% of what the platform actually does. The rest sits untouched.

SharePoint, Lists, Forms, Power Automate, and Power BI are all included in most Microsoft 365 plans. Together, they form the building blocks of a lightweight CRM for charities that can handle contact management, data capture, task automation, and performance reporting. No additional software purchase is required. No new vendor relationship. No lengthy procurement process.

The CRM You Didn’t Know You Had

Here is what each tool does when you point it at supporter management rather than internal admin.

Microsoft Lists is the starting point. It can store and track donor records, volunteer contacts, grant deadlines, and event attendees in a structured, searchable format. Unlike a spreadsheet, Lists supports conditional formatting, custom views filtered by team or region, and built-in version history. It also integrates directly with Teams, so your fundraising team can manage their pipeline without leaving the app they already work in.

SharePoint provides the document layer. Every donor interaction, proposal, thank-you letter, and compliance record can be stored alongside the contact record rather than buried in someone’s inbox. When a staff member leaves, the institutional knowledge stays with the organisation, not the individual.

Microsoft Forms captures data from the outside world. A volunteer sign-up form, a post-event feedback survey, or a supporter preferences questionnaire can feed responses directly into a SharePoint list or trigger an automated workflow. No more copying responses from email into a spreadsheet at the end of the month.

Power Automate connects these tools. When a new donor record is added to your list, Power Automate can send a personalised welcome email, assign a relationship owner, create a follow-up task, and notify the fundraising lead. These workflows take minutes to build and run without any coding knowledge. For a sector where 69% of organisations cite finances as the primary barrier to digital adoption, the fact that this automation is already included in their existing subscription is significant.

Power BI turns all of this into reporting that trustees and funders actually want to see. A live dashboard showing donation trends, volunteer engagement by region, event attendance over time, and campaign performance. No more manually assembling quarterly board reports from five different spreadsheets.

Why This Matters More in 2026

The UK giving landscape has shifted. Total charitable donations fell to an estimated ÂŁ14 billion in 2025, down from ÂŁ15.4 billion the previous year, according to the CAF UK Giving Report 2026. The number of people donating has dropped to around 31 million adults, a loss of roughly six million donors over the past decade.

In this environment, understanding your supporters is not optional. Charities need to know who is giving, why they give, when they are likely to give again, and what keeps them engaged. A spreadsheet cannot answer those questions at scale. A CRM for charities can, and most organisations already have the foundations in place through Microsoft 365.

Where Microsoft 365 Ends and Dynamics 365 Begins

We should be honest about the boundaries. Microsoft 365 is not a full CRM. It does not offer native fundraising management, Gift Aid processing, complex relationship hierarchies, case management, or deep segmentation for targeted campaigns. For charities managing thousands of supporters across multiple programmes, regions, and funding streams, a purpose-built platform becomes necessary.
